Tips & Tricks for Setting the Tone at Events 
(at the end of the quarter, or anytime)

As we near the end of the quarter, many students have competing priorities that they're trying to juggle. Sometimes this can create an atmosphere at your RSO meetings or events where your members or attendees don't feel truly present in the moment. Creating an inviting atmosphere while fostering meaningful community engagement is crucial.

Here are ideas that can be applied to events and meetings:

  1. Welcoming Kickoff: Begin the event with a warm welcome that sets the tone for the shared experiences.

    Example: "Welcome, everyone! Today, we come together to connect, share, and build a stronger community. Your presence here is valued, and we're excited to embark on this journey together."

  2. Interactive Elements: Incorporate interactive elements, such as icebreakers or discussion sessions, to encourage attendees to actively participate and contribute to the event.

    Example: "Let's make this event a two-way street. Engage in discussions, share your thoughts, and connect with your fellow attendees. Your active participation enhances the richness of our collective experience."

  3. Clear Expectations: Clearly communicate the purpose and expectations of the event. Let attendees know how they can actively contribute to and benefit from the shared experience.

    Example: "We're here to share in today's event. Your active involvement makes a difference. Feel free to share your ideas, ask questions, and participate in activities to make this event truly engaging."

  4. Mindful Presence: Encourage attendees to be fully present by suggesting a bit of a "digital detox" for the event (or parts of the event).

    Example: "For today's event, let's put away our phones and be present in the moment. This allows us to connect authentically and make the most of our time together."

  5. Shared Values: Establish shared values and ground rules that promote respect, openness, and inclusivity. Create an environment where everyone feels comfortable expressing themselves.

    Example: "Our community values respect and open dialogue. Let's ensure that everyone feels heard and respected. Together, we can create a space that fosters meaningful connections."

Save the Dates for Spring Quarter:
 

Early Spring:

Keep an eye out for the USG Student Organizations Committee who will be tabling and to support RSOs ahead of the Re-Registration window opening. You can connect with them for support with:

  • reviewing and updating your RSO Constitution/ByLaws
  • elections and transitions to incoming RSO officers
  • additional documentation review for Re-Registration
  • and more


Mid Spring Quarter:
RSO Re-Registration is an annual requirement for all Registered Student Organizations who plan to be active in the 2024-2025 academic year. Re-Registration happens on CrimsonConnect (more details will be provided in future RSO Officer newsletters), and will open Week 5 of Spring Quarter.

Keep an eye out for the April RSO Officer's Dinner (Monday, April 29th) - we'll go over the re-registration process as part of this dinner. 

Along with RSO Re-Registration the Driscoll & Community Commons Room Lottery will be open Week 5-8 of Spring Quarter for priority room boooking for recurring RSO meetings for the entirety of next year.

Don't be afraid to submit your Re-Registration as soon as you're ready, and remember:

  • RSOs can still host events while the re-registration is under review
  • RSOs can still work to complete the Harm Reduction Requirement while the re-registration is under review


Mid-to-Late Spring:

In order to allow time for expense reconciliation by the SAIE Business Office, as has been the case the past several years, the RSO P-Cards will have a last-use date several weeks BEFORE the end of the quarter.

Student groups should plan accordingly and purchase any program materials/supplies early using the P-Card checkout procedure through the Community Commons Welcome Desk (as usual).

Additionally, the last date to request Harm Reduction workshops specifically for your group will be sometime in mid-to-late spring quarter.

Reminder: Speaker Agreements

An important update from the University of Denver's Office of General Council:

If your organization is hosting an event with an external speaker or presenter who does not have their own Speaker Contract or other Terms & Conditions, you will need to fill out the DU Speaker Agreement Form and have your speaker/presenter sign it. This is necessary even if the speaker has agreed to speak/present to your organization for free. 

When you register your event in CrimsonConnect, in the additional questions asked about the event details, be sure to check the "Guest Speaker" box which will prompt additional questions, and in the case of a Non-DU speaker, will provide you with a downloadable, fillable PDF to fill in and have your speaker/presenter sign. 

DO NOT sign the agreement yourself on behalf of your RSO, simply upload it into the Event form and the Student Engagement team will route it to the Office of General Counsel for DU-Signature.
