Hello Registered Student Organization (RSO) Advisors!
We (the staff of the Office of Student Engagement) want to once again share our heartfelt gratitude for the support you provide to our Student Organizations! We know the additional work often takes place in the informal moments, conversations before and after official meetings, quick check-ins, and providing last minute resources and help in planning for the unexpected, but it doesn't go unnoticed.
We hope that next week provides a short calm before the excitement of Spring Quarter begins, bringing with it RSO Re-Registrations, end of year events and celebrations, officer transitions and more!
As always, our team is here to support you in the work you do with the student organizations, so please let us know how we can be there for you while you're there for the students.

RSO Harm Reduction
Each year 25% of every RSO's members must complete a Harm Reduction Workshop. Workshops are offered throughout the year on mulitple topics. So far this year, nearly 70% of our RSOs have had 10% or more of their members attend a workshop. Let's get that number to 100% of RSOs completing the requirement (25% of members attend a workshop) before the end of May!
You can help us out by encouraging the RSOs you work with to make a plan to attend one of the open workshops offered throughout the quarter or during the Spring Harm Reduction Summit (weeks 6 &7) or encouraging them to request a workshop for the RSO before the end of week 4.
Events Hosted:
Over 400 RSO events and meetings were hosted in the Winter Quarter.
Based on RSVPs, it seems Valentine's Day events were a big hit this year:
LSA x SASA x SHPE x ASA Valentine's Day Collab event had 100 attendees
Letters of Love Valentine's Day meeting had 76 attendees
Pulse Advertising:
The Pulse Newsletter which goes to all Undergraduate Students every week saw over 50% of RSO Events advertised through the newsletter.
Funding Provided:
In Winter Quarter, USG provided over $61K in supplemental funding to RSOs from the Student Activities Fee. These funds were provided by USG's Finance Committee, Diversity Committee and Sustainability Committee.

Early-Mid Spring:
Spring Quarter is when the RSO Re-Registration window opens to Re-register to exist next academic year. RSO Officers can connect with the USG Student Orgs Committee for support with:
reviewing and updating your RSO Constitution/ByLaws
elections and transitions to incoming RSO officers
additional documentation review for Re-Registration

Along with RSO Re-Registration the Driscoll & Community Commons Room Lottery will be open mid-Spring Quarter for priority room boooking for recurring RSO meetings for the entirety of next year.
Remind your RSO Officers to read their RSO Officer Newsletters which will contain more details about Re-Registration and RSO Room Lottery timelines and requirements.
Mid-to-Late Spring:
P-Card Last Use Date
In order to allow time for expense reconciliation by the SAIE Business Office, as has been the case the past several years, the RSO P-Cards will have a last-use date several weeks BEFORE the end of the quarter.
RSOs should plan accordingly and purchase any program materials/supplies early using the P-Card checkout procedure through the Community Commons Welcome Desk (as usual).
Harm Reduction Summit
To better support busy schedules, the facilitator team for the Harm Reduction Workshops has coordinated to offer a Harm Reduction Summit May 5-16. Throughout these two weeks, the various Harm Reduction Workshops will be offered for students as "open workshops" that any student can attend in an effort to complete the Harm Reduction Requirement.
More details will be added to the event page as the facilitators finalize the date, time, and location of the workshops they'll be offering. We encourage you to share this information with the RSO Officers you support.

The following are some important event dates and other important dates to note as your RSOs begin planning for the Spring Quarter:
Help your RSO Plan Ahead for Transitions to Next Year's Leaders
Who will pick up where outgoing officers are leaving off?
Are there members of the RSO who might be great in Officer positions next year? Identifying the next group of leaders within the RSO is crucial for its long-term success. Here are 3 things outgoing officers may want think about:
Initiative: Look for individuals who take initiative without being prompted. Those who actively contribute ideas, organize events, or volunteer for tasks often make good leaders.
Passion for the Organization's Mission: Are there current members who are genuinely passionate about the organization's mission and goals? Passion can drive motivation and commitment.
Self-Nominations: Ask current members to self-nominate or express interest in leadership roles. This ensures that those genuinely interested step forward.
How can Advisors help prepare new leaders?
Identifying the next group of Officers is important, but equally as important is making sure they're prepared to step into a position of leadership within the organization. Here are two things you can encourage outgoing officers to start preparing before new leaders are identified:
Succession Planning: Take some time to adequately prepare for transitioning leadership. You may want to:
Review the RSO Constitution with Officers for any processes/procedures for selecting new officers. Some groups may host elections (which you can do electronically in CrimsonConnect!), others may have interviews hosted by outgoing officers.
Help Outgoing Officers map out the timeline for those processes. We suggest a timeline that has new officers identified by week 7 of Spring Quarter, leaving time to transition new officers into their roles, and re-register the organization for next year.
Knowledge Transfer: Help outgoing officers facilitate a smooth transfer of knowledge to their successors. Transitions might include:
Documenting important information, processes, and contacts so that incoming leaders have a reference for re-creating annual events or progressing on projects that have been started but not completed.
Hosting transition meetings or workshops where outgoing leaders can share insights, experiences, and key learnings with their successors is also a great idea.
