Welcome back for another great quarter. We know that Spring Quarter is very busy, and being an RSO Officer means there are a number of great opportunities as well as some very important dates and deadlines to keep track of.

This email is a pretty full overview for the quarter, and we'll be sending regular reminders as important dates/deadlines approach; but we highly encourage you to read all the way through this newsletter and take action where needed!

More details below to get ready for the lottery form to open. Priority deadline: Monday, May 25, final deadline: Friday, June 5


May 4th - 15th:
RSO Harm Reduction Summit
The Harm Reduction Summit begins on Monday, May 4th! This is the easiest way for your RSO to complete its Harm Reduction Requirement. More details below about workshop offerings.
 

Friday, May 15th:
Last day to use RSO P-card without prior approval from the Business Office.
If you know you'll have something that requires payment after that date, you MUST email studentcomptroller@du.edu by May 15th to request an exception for end of quarter payment. 

Please ensure P-Card Checkout requests are submitted no later than Tuesday, May 12th. 


May 15th - 16th:
Peak Pathways @ KMC is a two-day leadership retreat open to all students, filled with immersive activities and opportunities for reflection and transition support especially for USG, DUPB, RSO and FSL leaders. More details below. Interest form to stay in the know can be filled out here

Student Affairs Business Office Updates

We’d like to share an update regarding the Student Affairs Business Office team that supports RSO finances.

The Business Office has transitioned into the University’s centralized Business Solutions & Analytics team, which means their responsibilities are now distributed differently and across a broader team to better support student organizations.

As part of this new staffing structure:

  • Business Manager, Erika Coffey, will be hosting weekly office hours in CCOM 1207 (next to the Welcome Desk) on Fridays from 1pm-3pm (starting on Friday April 10th), to support drop-in needs for RSO finance questions and provide guidance on processes
    • For those of you who formerly worked most closely with Tommy Nagle, Erika will be learning directly from him and stepping in moving forward
  • You can continue to send inquiries to StudentComptroller@du.edu for the duration of this school year. This inbox is now monitored by Erika and a team of Business Officers 
  • Request forms and processes in CrimsonConnect will remain the same for the duration of this school year. 
  • During this transition, RSOs planning events should continue plan ahead and provide sufficient lead time for business related requests. 
  • You may have received an approval for a Supplemental Funding Request from Fall or Winter Quarters; this is due to a clearing of requests in CrimsonConnect. Reach out to StudentComptroller@du.edu with any questions or concerns.

We appreciate your flexibility as the team transitions and remains committed to supporting RSO financial needs. As always, the Student Engagement team is also here to help point you in the right direction as things transition. 

Momentus Updates

Event Space & Need Bookings 

The University has made the decision to sunset the use of the Momentus System before the start of the new academic year. 

What does this mean for RSO event planning?
  • RSOs will continue to utilize Momentus to request room reservations for the duration of this academic year, and as part of the Driscoll/CCOM Room Lottery ahead of next year. 
  • Additional event logistics needs (like tables, chairs, trash, custodial and audio/visual needs like microphones, speakers, screen use) will be booked directly through either Facilities Mangement or Digital Media Services, respectively - the transition back to booking directly with these units began on March 23rd.

CCOM Basement Storage for RSOs

Time to Inventory and Organize

It's time for some Spring Cleaning! If your RSO has a bin in the CCOM Basement Storage space, please make a plan to go down there, inventory what items you have, and clean out anything that can be discarded by May 15th. 

Remember food and drink items are NOT permitted to be stored in the CCOM storage cages - please throw these out or find an alternative location for them! 

If you are not sure which bin(s) your RSO has, don't remember how to access the storage space, or your RSO no longer needs a bin for your items, please clear it out completely and reach out to Caroline.Luka@du.edu so she can make note of any bins that may be available for RSOs seeking storage space. 

UPCOMING OPPORTUNITIES FOR RSOs

Family Weekend - April 24-26

Family Weekend -  RSOs can table at the 4D Expo

USG has a unique opportunity for RSO's to table during Family Weekend.
On Friday April 24th from 1-3pm the annual Family Weekend 4D Expo will be held. USG is excited to extend this event to any RSO who is interested in participating.

The purpose of this event is to create a lively opportunity to centralize resources and organizations in the DU community to foster a 4D Experience. While also giving students the ability to expand their 4D Experience on campus through interactions with an RSO.

USG will be providing candy to pass out to any RSO who attends the event, but other tabling supplies will not be provided.

Harm Reduction Summit: Less Risk. More Fun! (Spring 2026)

Workshop offerings:

Here are 3 easy ways to encourage your members to participate:

  1. Email your members the list of workshops, encourage them to attend together, and ask that everyone registers for one.
  2. Schedule your weekly club meeting during the time of one of the available workshops.
  3. Take 5 minutes at your next meeting to have people pull out their phones and sign up on the spot.

Please note that requests for Thrive Health Promotion workshops will be reviewed on a case-by-case basis; however, it is expected that RSOs attend an open workshop. If your organization has an upcoming event where you would like Thrive Health Promotion Peer Educators or other educational materials present, then please fill out this form.

May 15-16 @ KMC

A weekend away at KMC dedicated to:

  • High impact activities, intrapersonal reflectionl and interpersonal support for student organizations
  • Open to all students, with a special focus on USG, DUPB, RSO leadership and FSL Chapters
  • Be the first to know about Peak Pathways registration once it's open, and get additional information by completing this short interest form.

Getting ahead of RSO Re-Registration & Room Lottery

The annual RSO Re-Registration window will open Week 5 of Spring Quarter, alongside the Room Lottery application for recurring weekly meeting spaces in the Driscoll & Community Commons for 2026-27. More details and reminders will be shared regularly in these RSO Officer Newsletters throughout Spring Quarter. (Brand new RSOs who were approved in March or later will NOT need to re-register)

You can get ahead of the Re-Registration process by preparing a few of the necessary items in advance, and reaching out to the USG Student Organizations Committee for consultation as needed: 

RSO Constitution: 
Now is a great time to review your RSO Constitution to be sure it accurately reflects the way your RSO conducts business. There are several sections of USG Sample Constitution that are "recommended" or "required". Now may be a perfect time to build those into your documents. 

Here's how you can find your RSO's most recent Constitution Document:
  • Log into CrimsonConnect
  • Navigate to your group's page
  • Find the "Files" section
  • Click on "Uploaded Attachments"
  • If there's a folder within that fold (likely called "Other") click that
  • You should see an archive of past Constitutions that have been uploaded, including the one that was uploaded during Re-Registration last year

Active Membership Roster: 
You'll be asked to upload a membership roster of those members who will still be active in your organization in 2024-25. You MUST upload this using the provided excel .xls template

Advisor Agreement: 
A new RSO/Advisor agreement form is required. Now is a great time to check in with your RSO Advisor about their interest in continuing as your RSO advisor next year, or to determine if a different faculty or staff person on campus may be a better fit for the needs of the organization. Consider how your Advisor can support your team in the process of transitioning to new officers.


Getting ahead of RSO P-Card Use Deadline & Vendor Payments

The last day for RSO PCard usage will be Friday, May 15th to allow time for expense reconciliation by the Business Office Team. Student groups should plan accordingly by requesting funds and purchasing any program materials/supplies in advance using the P-Card checkout procedure through the Community Commons Welcome Desk (as usual). Don't forget to turn in your receipts!!!

Any RSO’s that needs to pay a vendor after the May 15th date will need to submit a written request to the Business Office by emailing studentcomptroller@du.edu prior to the May 15th deadline. 

Failure to comply with this procedure can result in loss of spending privileges or inability to pay vendors. 

As a final, friendly reminder, RSO Advisors should NEVER be using their own credit card, P-Card, or department's P-card to make purchases on behalf of an RSO they advise if the funds will be spent from the RSO's account.
