Thank you to the nearly 200 RSO Officers who joined us for Org 101 Training on Sunday! It was energizing having so many of you back in person connecting with one another and getting ready for a wonderful new year of incredible events and initiatives coming from your RSOs!
Since so many of you made it on Sunday, we've cancelled tonight's make-up session.
If you missed the training, are currently abroad, or just want access to some of the material we went over - including the Finance Training, Event Planning Training, and Finance Quiz - it is now all posted on the Org 101 Website which you can find in the RSO Officer Quicklinks Section of the CrimsonConnect home-page left-hand menu bar. (screenshot aboves shows you where to go).
Don't forget - in order to check out a P-Card you must first pass the finance quiz.
Not seeing that section of the left-hand menu? Make sure you're in the correct "Hub" - your home page shouldn't say anything about Faculty/Staff or Grad Students at the top. To switch Hubs, click on the "CrimsonConnect" icon at the top left of the website and toggle to the option that's just called "CrimsonConnect").
Org 101 Feedback Survey:
Since the "feedback" survey that went out after the training was actually the finance quiz, we're requesting your feedback on the Org 101 Training day separately.

Series of Harm Reduction workshop offerings open to ALL STUDENTS to support completion of the RSO Harm Reduction Requirement!
Don't forget 25% of each RSO's members must complete a Harm Reduction training by the end of this school year. The Harm Reduction Summit is an opportunity to attend one of several open trainings being offered!
Did you know we have over 100 active RSOs on campus? If every one of those RSOs named their recurring meetings "Weekly Meeting" in CrimsonConnect, students would never know where to find your group's meetings.
TIP: When you create your meetings or events in CrimsonConnect it is a good idea to use your RSO's name in the event title if it would otherwise be unclear who's hosting.
TIP: Don't forget you can use the "Recurring Meeting" option when inputting the date/time information in the Event builder on CrimsonConnect to select dates of recurring meetings. This allows you to build the event once, knowing it will populate to the event list for every date it re-occurs.
Advertise Events and Meetings in the Pulse:
The Pulse newsletter goes out to all Undergraduate students every Wednesday morning - nearly 1500 individuals opened this week's Pulse newsletter which included a list of upcoming RSO events and meetings that RSOs had requested we advertise. TIP: Use the "Advertising - Pulse Newsletter" tag when creating your event so we know you'd like it shared out.
Track Attendance at Your Events:
Check out this training video which talks about various ways to track attendance at your events starting at the 10minute mark (unfortunately, we do not have the ability to do mobile card-swipes for check ins) - the mobile QR Code check in option is great.
NOTE: Unfortunately, our ability to use card swipes/taps connected to a computer has been hit-or-miss with the configuration that allows those devices to "talk" to CrimsonConnect. As soon as we have those glitches sorted out we'll let you all know how you can borrow card-tappers from Student Affairs for event check ins.
We are aware that most of our RSOs are not currently populating in the "Department/Organization" drop-down list when booking an event space.
We have provided the Momentus Team with an up-to-date list of active RSOs, and they will be working to fix this issue.
In the meantime, please use the "Student Programs & Greek Life" option if you do not see your RSO.
When you get to the billing section of the request form, all RSOs use the Fund Number: 90300 for their FOAP. Your Org numbers *should* be populated in the dropdown list in this section of the form, and start with 116. You can find your FOAP on the "Settings" page of your RSO's CrimsonConnect page under the "Payments" tab.
If you do NOT see your FOAP Org number listed on the Momentus dropdown, you may use the following:
Fund: 100000
Org: 115603
Accounting Book - What Total Do I Look At?
Above is a screenshot of an Accounting Book in CrimsonConnect - here's what you're looking at:
RED CIRCLE– total allocations/revenues ($1,000) – this is the total amount of dollars that have been recorded in the accounting book feature on CrimsonConnect as having come into the account over the lifetime of using the accounting book feature.
BLUE CIRCLE – total expenses ($100) – this is the total amount of expenses that have been recorded in the accounting book feature on CrimsonConnect as having been spent from the account over the lifetime of using the accounting book feature.
GREEN CIRCLE –total balance ($900) - this is honestly the one you really want to start from/watch, as it accounts for the total allocations/revenues AND expenses over the lifetime of the use of the accounting book feature.
Each summer our team “sweeps” the account of any funding that went unused so the account re-sets to $0, and then in the fall we input the base allocation information – so what’s showing in that Green Circle (assuming nothing else has come in or been spent yet for the school year) should reflect the base allocation amount provided by USG. As you log expenses or funds coming in you’ll see that total balance number update to reflect the expenses or allocations.
TIP: Remember it’s up to you (ideally RSO Treasurers) to log everything else for the year (the only ones our office puts in for everyone is the end of year sweep and the base allocation).
If your RSO has a Fundraising/Sales account as well, we recommend you maintain a log of that account separately from this one, as those funds do not get swept if unused at the end of the year, but if you log them in here our team can’t tell what’s USG-provided vs. Fundraised so when we reset with the “sweeps” on the accounting books we always reset back to $0 – remember, the accounting book feature isn’t actually “talking” to any of the systems/records maintained on campus for the accounts, so if I “swept” something that was logged in the accounting bookbut lives in the Fundraising/Sales account, that money still actually lives in the F/S account on DU’s records.
