Happy Winter Quarter, welcome back! There's a lot of important information in this message, we know it's long, but please take some time to read through it all. Don't hesitate to reach out to our team (studentengagement@du.edu) with any questions or informal advising support for you and your RSO.
This quarter, the facilitators of the vairous Harm Reduction workshops will be hosting a variety of workshops throughout weeks 6 & 7.
We encourage you to share this "summit" of workshops with the members of your RSO so that at least 25% of your RSO's membership can attend and complete at least one workshop. All workshops being offered will count toward the RSO Harm Reduction Requirement.
As a part of the Enterprise Event Registration and Venue Management project, Information Technology and Conferencing & Event Services are thrilled to announce the soft-launch of DU’s one-stop event booking portal, hosted through Momentus, onJanuary 21, 2025. This exciting technology is the first step in creating a campus-wide view of events that will eventually feed into DU’s Common Calendar.
Key Takeaways:
Starting at the end of day on Thursday, January 16th, 2025, the Event Booking Portal in 25Live will no longer be used for booking university events, except Anderson Academic Commons study rooms and parking reservations. Please submit any urgent requests prior to that time. Any events that have been created prior to this date will migrate to Momentus on the following Tuesday, January 21st, 2025.
DU Students, Faculty, and Staff will use their My4D login on the Event Management Portal to submit an Internal Reservation, browse venues, and access the Event Planning Guide. (Please note that this link will not be accessible until January 21st, 2025.)
The University of Denver’s Event Managment Portal offers DU students, faculty, and staff a one-stop location to find and reserve event spaces across campus. Bookings and Reservations are separated by My4D Users (DU Students, Faculty, and Staff) and Guests (external requestors). The Event Venue Portal allows event requestors to explore DU Venues by venue type and venue location.
Guests will be directed to the Request for Proposal where they can enter the details of their externally-hosted event and be put into contact with the appropriate department who will help them coordinate their event logistics.
Only those listed on your officers list will receive these very important emails!
You may also want to review your member roster and move non-active members to "contact" status.
Org 101 Training & Quiz Completion
Don't forget that any Officer who will be spending money on behalf of the RSO needs to complete the Org 101 Training and pass the associated Org 101 Finance Quiz before a P-Card will be checked out to them.
Pre-Recorded trainings from this summer and the link to the required finance quiz can be found here.
Check in with Your Advisor
The start of a new quarter is a great time to reconnect with your faculty/staff advisor!
Some things you may want to discuss, share, or seek consult from your advisor on may include:
Goals for the Winter Quarter with your RSO
Events you hope to host, and where you're at in the planning process for those events
Plans for re-integrating members or officers who are returning from Study Abroad
Current members who may be strong candidates to fill officer positions next year and transition timeline/planning
Any concerns that came up in the fall that still need addressing
Need informal advising to support your RSO? Don't hesitate to reach out to studentengagement@du.edu and someone from our team can connect with you!
Post Upcoming Events & Meetings in CrimsonConnect
We've seen a few RSO events on 25-Live that haven't yet made their way into CrimsonConnect. Please don't forget to use the "Create Event" button in CrimsonConnect to register your RSO events.
REMEMBER, it is an expectation from our office that RSOs register their events in CrimsonConnect.
Registering your events in CrimsonConnect allows the Student Engagement Team to support your event planning if needed, and also is a great way to advertise upcoming events to your peers!
If your event is "pending in draft" - here's how to fix it.
The person who started the event form should:
Log into CrimsonConnect
Find "My Surveys & Forms" near the bottom of the left-hand menu bar of the CrimsonConnect Home Page
Search for a form called "RSO and FSL Event Registration" - you'll see the name of the event listed as well as a gray "DRAFT" sticker
Use the pencil icon to pick up where you left off - often times it is between the event information and the additional questions that the Student Engagement team requires.
Finish the form by answering all required questions - you should see a purple "Submit" button when you get to the end.
Click "Submit"
Storage CleanUp
If your RSO has items stored in the Community Commons Basement Storage Locker, this is a notice to please go down and ensure all of your items are neatly stored in your assigned bin.
Please do this before the end of Week 3 (Friday, January 24th). Loose materials and items will be thrown away.
ALL items must be securely stored in bins or removed from the locker.
IMPORTANT REMINDER: Food items are not to be stored down there, and visible food items will be removed from storage when our team does a brief inspection, so please remove those.
If you have items in storage that do not fit into storage bins, please label them AND reach out to studentengagement@du.edu to receive approval from us for those items to be stored. If you require more bins, we may have the ability to provide more.
While at least one person on your executive team should know the code and bin numbers for your organization, if your exec team is unsure of the code or which bins are yours, please reach out to us.
Come celebrate the 4th Birthday of the Community Commons, all day!!!
